2. Information We Collect

When you enquire through our website contact form, Facebook, Instagram, Meta advertising forms or directly by email or phone, we may collect:

  • Your name
  • Your email address
  • Your telephone number
  • Your event type, date and venue or location
  • Your approximate guest numbers
  • The package or band you are interested in
  • Any other information you choose to include in your message

The name, email address and telephone number fields on our contact form are required. Without them we cannot reply to your enquiry. Everything else is optional.

If you arrive at our contact form from one of our adverts or links, the form also records which campaign brought you there.

When you visit our website, we also collect information about your visit as described in section 9 (Cookies and Similar Technologies), but only if you agree to it.

3. How We Use Your Information

We use your personal information to:

  • Respond to wedding, party and corporate event enquiries
  • Check availability for your chosen date
  • Provide quotations and information about our bands and packages
  • Communicate with you about a potential or confirmed booking
  • Arrange and administer bookings, including sharing event details with the musicians and crew performing at your event
  • Maintain business and financial records
  • Protect our contact form from spam and abuse
  • Measure how our website and adverts perform, if you have agreed to analytics or marketing cookies

We do not add enquiry details to a marketing mailing list, and we do not send marketing emails.

Responding to your enquiry, checking availability and preparing a quotation: necessary to take steps at your request before entering into a contract.

Arranging and delivering a booking: necessary to perform our contract with you.

Keeping booking and financial records: necessary to comply with our legal obligations, including tax law.

Protecting our contact form from spam and abuse: our legitimate interest in keeping our enquiry service working and secure.

Analytics and marketing cookies, and the information they collect: your consent. You can withdraw consent at any time (see section 9).

5. Facebook and Instagram

Lead forms. If you submit an enquiry through one of our Facebook or Instagram adverts, Meta collects your information through its lead form service and passes it to us. We use it only for the purposes described in this policy.

The Meta Pixel. If you accept marketing cookies, our website uses the Meta Pixel, a piece of code from Meta Platforms Ireland Limited. It tells Meta which pages of our site you visit and whether you send an enquiry. We use this to measure how our adverts perform and to show our adverts to people who have visited our site. For this collection and sharing, we and Meta are joint controllers. Meta is responsible for what it does with the information after it receives it, as described in Meta’s privacy policy at https://www.facebook.com/privacy/policy/.

If you decline marketing cookies, the Meta Pixel does not load and nothing is sent to Meta from our website.

6. Sharing Your Information

We do not sell your personal information.

We share it only with:

  • Musicians, performers and production crew working on your booking, who receive the event details they need to deliver it
  • The service providers listed in section 11, who handle information on our behalf and only on our instructions
  • Professional advisers, such as our accountant, where they need it to provide their services
  • Authorities, where the law requires us to

7. How Long We Keep Your Information

Enquiries that do not lead to a booking are deleted within 12 months of our last contact with you.

Where a booking is confirmed, we keep booking and financial records for six years from the end of the financial year the booking falls in, as HMRC requires.

Analytics and marketing cookies last for the periods shown in section 9.

8. How We Protect Your Information

We take reasonable organisational and technical measures to protect personal information against unauthorised access, loss, misuse or disclosure.

Access to enquiry and booking information is limited to those who need it for the purposes in this policy.

9. Cookies and Similar Technologies

Cookies are small files stored on your device when you visit a website. Our website uses three kinds.

Strictly necessary. These are needed for the site to work and are always on:

  • Your cookie choices: stores whether you accepted or declined analytics and marketing cookies. Set by us. Lasts 6 months.
  • Security: Cloudflare, our hosting provider, may set cookies to protect the site and our contact form from automated abuse. Lasts up to 30 minutes.

Analytics (only if you agree):

  • Google Analytics (_ga and _ga_ cookies): tells us which pages are visited and how people find the site. Set by Google. Lasts 2 years.

Marketing (only if you agree):

  • Meta Pixel (_fbp and _fbc cookies): measures our Facebook and Instagram adverts and lets us show adverts to people who have visited our site. Set by Meta. Lasts 3 months.

When you first visit, a banner asks whether you accept analytics and marketing cookies. Declining is as easy as accepting, and nothing in these two groups loads until you choose. You can change your mind at any time using the “Cookie settings” link at the bottom of every page. If you withdraw consent, we delete these cookies from your device.

Videos. Our videos load only when you press play. They then play from YouTube’s privacy-enhanced service (youtube-nocookie.com), which stores information on your device to play the video and sends Google your IP address. Facebook videos on our blog likewise load only when you press play, and then come from Facebook.

10. Your Data Protection Rights

Under UK data protection law, you have the right to:

  • Access the personal information we hold about you
  • Ask us to correct inaccurate information
  • Ask us to delete your information
  • Object to our use of your information where we rely on legitimate interests
  • Ask us to restrict how we use your information
  • Ask us to transfer your information to you or another organisation
  • Withdraw consent at any time, where we rely on consent. This does not affect anything we did before you withdrew it.

To use any of these rights, email [email protected]. We will reply within one month. There is no charge.

We do not make decisions about you by automated means.

11. Service Providers and International Transfers

These companies handle personal information on our behalf:

  • Cloudflare (website hosting, contact form handling and spam protection). Cloudflare, Inc. is based in the United States.
  • Google (email via Google Workspace, and Google Analytics if you agree to analytics cookies). Google processes data in the United States and elsewhere.
  • Meta (lead forms and, if you agree to marketing cookies, the Meta Pixel). See section 5.

Where these providers process information in the United States, the transfer is covered by the UK-US data bridge (the UK Extension to the EU-US Data Privacy Framework) for providers certified under it, and otherwise by the UK International Data Transfer Addendum to the standard contractual clauses. You can ask us for details of these safeguards using the contact details above.

12. Complaints

If you are unhappy with how we have handled your personal information, please tell us first at [email protected]. We will acknowledge your complaint within 30 days and tell you what we are doing about it.

You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at https://ico.org.uk/make-a-complaint/ or on 0303 123 1113.

13. Changes to This Policy

We will update this policy when our services, the way we handle information or the law changes. The latest version is always at https://thebrotherhoodmusic.co.uk/privacy/, with the date of the most recent update shown at the top.
